We need to explain to you how we use and keep your personal data in accordance with the General Data Protection Regulations, in a clear and concise way. This policy may be updated from time to time so please check via our website.
What information do we collect from you.
We may collect and store information such as: Your name, address, telephone numbers and email address. We will also store information regarding your pets, including: name, age, species/breed, microchip number, insurance company, sex and weight.
If you give us permission, we will also keep records of any visits to previous vets and any treatment they may have had. This is good practice as it allows us to have an understanding of how your pet has reacted to any medical treatment in the past and any reoccurring issues they may have which will mean we can be succinct and accurate with our treatment moving forward.
What we do with your information
We may, on occasion, be required to share your information with third parties. This may include sharing your details with other veterinary practices or referral or therapy centres for specialist treatment, or with external laboratories for analysis of samples.
We may also use your information to remind you of appointments or send you reminders about our products and services such as vaccinations and regular parasite treatment due dates. You have the right to say how you would like us to contact you. If you would rather not be contacted for routine reminders then please let us know.
Newsletters and promotional material will only be sent out directly from Heronden Veterinary practice and will be relevant to your animal.
We may share your details with selected third parties such as business partners, suppliers or subcontractors, or if we have been legitimately asked to provide details for legal or regulatory purposes or as part of legal proceedings or prospective legal proceedings Our contract with these companies ensures your data is stored safely and is not used for any other purposes.
We will also be required to share your details when processing insurance claims for you.
How long do we keep your records
We keep the information you give us for as long as you are our client but we are legally required to keep your information for at least 7 years.
Your rights
You have the right to access the information we hold about you and your pets and to make any changes to correct this information.
You have the right to ask us to stop or restrict how we are using your personal data. There may be legal reasons why we cannot delete your information but feel free to contact us regarding this matter.
You have the right to ask us to transfer your information to another veterinary practice.

Complaints

Consent to use VetNotes AI Scribe during your Pets Consultation.
We are committed to providing the very best possible care for your pet, and as part of this commitment, we are continually looking for ways to enhance our services.
We would like to inform you about a new technology that we are using called VetNotes which is an artificial intelligence (AI) tool that assists us during your pets visit by generating clinical notes based on our conversations. This tool allows us to focus more on your beloved pet and less on typing notes!
What is VetNotes?
VetNotes is a tool that listens to the conversation during your pet’s consultation and generates a written summary based on that conversation. These clinical notes will then be reviewed and approved by your vet.
How will this affect you?
The AI tool does not interact with you directly. It merely listens to the conversation and creates a summary.
Your Consent
Of course your participation is completely voluntary and if you don’t want it recorded please tell the vet at the beginning of the consult. If you have any questions or concerns, please feel free to discuss them with us.
